Summary

Position Summary

The Patient Administrative Coordinator serves as the initial contact for patients and staff regarding the administrative aspects of an Out of State (OOS) and Program patient visit.  Coordinates registration, financial verification and clearance and physician visit assignments.


Essential Duties    

  1. Contacts patient and family to complete/verify registration, update insurance information and establish relationship. Serves as primary patient contact for all non-clinical questions, scheduling status updates and refers clinical issues to the Executive Patient Ambassador or clinical staff. 
  2. Maintains a general understanding of major insurance plans and medical terminology for the purpose of assisting patients with obtaining referrals and insurance authorizations. Communicates with external referring providers the requirements for an access authorization, providing a list of CPT codes necessary to facilitate the authorization process. Review authorizations to ensure accuracy, making necessary, and obtaining support documentation prior to scheduling of patients.  Checking insurance eligibility and benefits, advising patients on coverage issues or limitations, referring to Financial Counseling as needed.
  3. Coordinates the administrative aspects in preparation of a patient visit and completion of their standard schedule in appropriate manner, while maintaining the financial integrity of the visit. Provide each patient specific and relevant program information including length of visit, basic travel requirements, and name of assigned Executive Patient Ambassador. Notifies patient care team and/or patient of obstacles and facilitates their resolution.
  4. Reports key factors of OOS availability and alerts manager of issues, both internal and external, which may impact scheduling efforts. Responsible for working reports on correction of demographic errors, claim error exceptions, and daily discharge reports to ensure timely and accurate billing of services.

  1. Serves as a back-up to staff absences and vacancies, and performs other miscellaneous duties, as assigned.

Minimum Qualifications

  1. Education: High school diploma or equivalent required. Bachelor’s degree in administrative, healthcare, communications, or other related field preferred.
  2. Work Experience: A minimum of 2 years experience in the daily administrative operations, that may include scheduling, insurance verification etc, in a healthcare setting required.  Experience in healthcare third party insurance plans, coverage and benefits preferred.
  3. Special Training, Certification or Licensure: None

Salary Range: $18.00 - $21.00
