Summary
National Jewish Health is currently seeking a Business and Program Support Administrative Professional to join our growing and fast-paced Department of Medicine (DEOHS) team. This position is integral to the operational success of our Division of Environmental and Occupational Health Sciences (DEOHS), and will work with a diverse group faculty members supporting the National Jewish Health mission working with external and internal clients. The position also supports the business programs in DEOHS. The Administrative Professional position has flexible alternative work arrangements, including on-site and/or remote options. Additionally, National Jewish Health offers free parking to all employees.

In this role, the Business and Program Support Administrative Professional will:
- Manage calendars, make travel arrangements as directed, maintain and update CVs, and process reimbursements for various DEOHS faculty
- Maintain on-call schedules for DEOHS, including updating our on-call schedule, Doc for That, and updating faculty Outlook calendars accordingly
- Provide grant support (maintaining biosketches, uploading supporting documents, and coordinating with the Grants Management Department)
- Supports the business group with billing for services
- Assists in the development of spreadsheets, tracking tools, and presentations using the appropriate software for DEOHS business and programs
- Provide Medicolegal coordination (billing, tracking, scheduling, ensuring the appropriate contracts are in place)

Position Summary
The DEOHS Business and Program Support Administrative Professional provides intermediate level direct support with intermediate supervision. Serves as a liaison to various internal and external customers.
Essential Duties
- Types correspondence, memos, reports, or other documents to include formatting documents, spelling and punctuating accurately, and proofreading.
- Assists in the development of spreadsheets, tracking tools, presentations, and speeches using the appropriate software for DEOHS business and programs.
- Supports medicolegal functions including working with attorneys, billing for services for providers, supporting contract signing, working with the legal group at NJH.
- Supports the business group with billing for services.
- Answers, screens and routes phone calls, takes messages, schedules appointments, and manages calendars.
- Duplicates documents, processes and distributes mail, sets up and maintains filing systems. Is responsible for trouble-shooting office equipment problems.
- Makes travel arrangements including transportation and hotel reservations, as directed.
- May be responsible for setting up conferences, seminars dinners or special programs.
- Orders supplies for faculty, research staff, business and scheduling groups from internal and external sources and processes reimbursements and maintains records of these.
- Assists with the preparation of grants and contracts and routes them for approvals as needed.
- Acts as a team member providing back up for staff absences and vacancies, as needed or directed.

Minimum Qualifications
- Education: High School diploma or equivalent required.
- Work Experience: Two years of administrative assistant or related office setting experience required.

Salary Range: $22.00 - $27.00
