Summary

 

National Jewish Health is currently seeking an Administrative Professional II to join our growing and fast-paced Department of Medicine team. This position is integral to the operational success of our Department, and will provide exemplary administrative support to 10-20 faculty members, their respective research teams, and the Scheduling team in the Division of Environmental and Occupational Health Sciences (DEOHS). The Administrative Professional II position has flexible alternative work arrangements, including on-site and/or remote options. Additionally, National Jewish Health offers free parking to our patients, visitors and employees.

In this role, the Administrative Professional II will:

  • Manage calendars, make travel arrangements as directed, maintain and update CVs, and process reimbursements for various DEOHS faculty
  • Maintain on-call schedules for DEOHS, including updating our on-call schedule, Doc for That, and updating faculty Outlook calendars accordingly
  • Provide grant support (maintaining biosketches, uploading supporting documents, and coordinating with the Grants Management Department)
  • Assist with reference letters (proofreading, formatting, placing on letterhead, obtaining appropriate signatures, faxing, etc.)
  • Pull and maintain monthly clinical statistics and clinic fill-rates (clinical stats are due the first of the month, and fill-rates are updated twice/month)
  • Provide Medicolegal coordination (billing, tracking, scheduling, ensuring the appropriate contracts are in place) 
  • Perform other duties as assigned

Position Summary

Provides intermediate level direct support as Administrative Professional for departments with intermediate supervision. Serves as a liaison to various internal and external customers.


Essential Duties    

  1. Types correspondence, memos, reports, or other documents to include formatting documents, spelling and punctuating accurately, and proofreading. 
  2. Assists in the development of spreadsheets, tracking tools, presentations, and speeches using the appropriate software.
  3. Answers, screens and routes phone calls, takes messages, schedules appointments, and manages calendars.  
  4. Duplicates documents, processes and distributes mail, sets up and maintains filing systems.  Is responsible for trouble-shooting office equipment problems.
  5. Makes travel arrangements including transportation and hotel reservations, as directed.
  6. May be responsible for setting up conferences, seminars dinners or special programs.  
  7. Orders supplies from internal and external sources and processes reimbursements and maintains records of these.  
  8. May assist with the preparation of grants and contracts and routing of them for approvals.
  9. Acts as a team member providing back up for staff absences and vacancies, as needed or directed.

Minimum Qualifications

  1. Education: High School diploma required.
  2. Work Experience: 2 years of administrative assistant or related office setting experience required.
  3. Special Training, Certification or Licensure: None

 

Salary Range: $22.00 - $24.00
